Adding Documents to a Document Library

If you have been granted the appropriate permissions, you can upload files to various libraries on a SharePoint sites.  Note that permissions can be controlled on a site-wide basis or on a library-specific basis, so you may have "write" permissions (Contributor) on one library and not on another within the same site.

Here are few general suggestions before we get started:
  • Note that SharePoint offers different kinds of libraries for different kinds of content.  Be sure to post files in a library of the appropriate type for the best user experience.  For example, post image files and photos in a Picture Library rather than in a Document Library; post Word files in a Document Library.
  • Let the site administrator know if you would like a new library added.  It takes only a few seconds and can really help keep things organized.
  • Use libraries to post things that need to be in a self-contained file, such as a document in Word.  For many types of communication, other formats may work better - a post on a discussion list, an announcement, a calendar event, a wiki page, a blog entry, etc.  Users don't like having to open files to read info that could have been posted directly.
  • Whenever possible, post your documents in Word 2003 format (rather than PDF or other). This will enable online editing and collaboration.
Now, on to business.  To upload a document, first navigate to the Document Library you want to use.  We'll use the LINK Planning Docs library as an example.

Once there, do the following:
  1. Click on the Upload button at the top of the file window, or click on the Upload Menu button (down-arrow) next to it and select Upload Document:
  2. Upload button

The Upload Document page will open.

  3. Click the Browse button to navigate to the file on your local drive.
  4. Click Browse

A dialog box will open in your OS, allowing you to select the file from your local drive.

  5. In the dialog box, navigate to and select the file you want, then click Open.
  6. Back at the Upload Document page, click OK to start the upload.
  7. The file will upload (this can take a while for large files), then the browser will refresh and you will see your document added to the file window.
